Terms of Service
These Terms of Service apply to bookings and services provided by Lapland Aurora World Oy (“Lapland Aurora World”, “we”, “us” or “our”). By making a booking, the customer accepts these Terms of Service.
Services and Prices
Lapland Aurora World provides Arctic experience services in Rovaniemi, Finland.
The content, duration, price and other details of each service are described on our website and in the booking information available at the time of purchase.
All prices are stated in euros (€) and include the applicable Finnish value-added tax (VAT), unless otherwise stated.
Lapland Aurora World reserves the right to correct obvious pricing errors and to change prices for future bookings.
Prices confirmed at the time of booking will not be changed after the booking has been confirmed, except where required by law or where an obvious pricing error has occurred.
Booking and Confirmation
A booking becomes binding when the customer has completed the booking and payment process and receives a booking confirmation.
The customer is responsible for providing accurate contact information when making a booking.
Please check your booking confirmation carefully and contact us as soon as possible if any information is incorrect.
Payment
Bookings made through our website are paid using the payment methods available at checkout.
Payment processing is provided by Stripe. The available payment methods may vary depending on the customer's country, device and other factors.
Lapland Aurora World Oy is the seller and service provider responsible for your booking. Questions concerning the experience, booking changes, cancellations or refunds should therefore be directed to Lapland Aurora World.
Cancellation Policy
We understand that travel plans can change. Our cancellation policy is:

More than 5 days before the experience: Free cancellation

2–5 days before the experience: 50% cancellation fee

1 day or less before the experience: 100% cancellation fee
Cancellation periods are calculated based on the scheduled starting time of the experience.

Where a refund is due under these terms, it will normally be returned using the original payment method.
Bookings for Lapland Aurora World concern leisure services provided on a specific date and at a specific time. The statutory 14-day right of withdrawal applicable to many online purchases does not apply to such bookings.
Changes to a Booking
If you need to change your booking, please contact us as early as possible.
Changes are subject to availability and cannot always be guaranteed.
Any change to the number of guests, date, departure or other booking details may affect the price or availability of the experience.
Changes to the Experience
Lapland Aurora World takes place in a natural Arctic environment. Weather, snow conditions, temperatures and other circumstances may occasionally require us to make reasonable changes to the route, schedule, activities or content of the experience.
Such changes may be made when necessary for safety, animal welfare, operational reasons or circumstances beyond our reasonable control.
We will always aim to preserve the overall character and quality of the Lapland Aurora World experience.
Aurora Borealis and Natural Conditions
The Aurora Borealis is a natural phenomenon and its appearance cannot be guaranteed.
The absence or limited visibility of the Aurora Borealis does not constitute cancellation or non-performance of the booked service and does not entitle the customer to a refund or price reduction, provided that the Lapland Aurora World experience is otherwise delivered as described.
Snowfall, cloud cover, cold temperatures and changing winter weather are natural parts of Arctic conditions.
Customer Responsibilities
Customers are responsible for following the instructions provided by Lapland Aurora World hosts and for behaving in a manner that does not endanger themselves, other guests, staff, animals, property or the surrounding environment.
Customers must arrive appropriately dressed for Arctic winter conditions. Winter clothing is not provided unless explicitly stated otherwise.
Customers must inform Lapland Aurora World in advance of any mobility limitations, allergies, dietary requirements or other relevant circumstances that may affect their safe participation in the experience.
Parents and guardians are responsible for supervising children in their care throughout the experience.
Safety
Lapland Aurora World operates its experiences in accordance with applicable Finnish legislation and appropriate safety procedures.
Our hosts may modify, interrupt or discontinue an activity if they consider this necessary for the safety of guests, staff or animals.
A customer may be refused participation or removed from an activity if their behaviour creates a significant safety risk to themselves or others.
Customers are expected to follow our safety instructions and the guidance of our hosts throughout the experience.
Reindeer and Animals
Lapland Aurora World may include encounters with reindeer or other animals.
Guests must follow the instructions of our hosts when approaching, feeding or interacting with animals.
Animal welfare is important to us, and activities may be modified or discontinued if necessary for the wellbeing of the animals.
Food and Allergies
Food and drinks may be served as part of the Lapland Aurora World experience as described in the product information.
Customers are responsible for informing us of food allergies and dietary requirements when making their booking.
We will make reasonable efforts to accommodate notified dietary requirements, but we cannot guarantee an environment completely free from traces of allergens.
Transportation and Pick-up
Transportation from the customer's selected pick-up point in Rovaniemi to Lapland Aurora World and back is included where stated in the booking.
Customers must be at the confirmed pick-up point at the instructed time.
Lapland Aurora World is located at a private wilderness location and independent arrival is not permitted unless expressly agreed with us in advance.
Delays caused by weather, road conditions or other circumstances beyond our reasonable control may occasionally affect transportation schedules.
Late Arrival and No-Show
Customers are responsible for being at the confirmed pick-up point at the specified time.
Because the experience follows a scheduled journey for a small group, transportation cannot necessarily wait for late guests.
Failure to arrive at the confirmed pick-up point on time may be treated as a no-show. No refund will be provided for a no-show or for a missed experience caused by the customer's late arrival.
Cancellation or Changes
Safety always comes first.
Lapland Aurora World may cancel, postpone or materially modify an experience if weather conditions, safety concerns, technical problems, animal welfare considerations or other circumstances make it unreasonable or unsafe to operate the experience as planned.
If Lapland Aurora World cancels the experience and no suitable alternative arrangement can be offered and accepted, the customer will receive a refund of the amount paid for the cancelled service.
Lapland Aurora World is not responsible for additional travel, accommodation or other consequential expenses incurred by the customer, except where liability cannot legally be excluded or limited.
Liability
Lapland Aurora World is responsible for providing its services with appropriate care and in accordance with applicable Finnish law.
Nothing in these Terms of Service limits or excludes any liability that cannot legally be limited or excluded under applicable law.
Customers are responsible for damage they intentionally or negligently cause to Lapland Aurora World property, equipment or other property used during the experience.
All guests must have appropriate travel insurance covering, among other things, illness, accident, trip interruption and other unforeseen circumstances. Lapland Aurora World does not accept liability for any damage caused by the guest to themselves or other members of the group.
Force Majeure
Lapland Aurora World is not responsible for failure or delay in performing its obligations where this results from circumstances beyond its reasonable control.
Such circumstances may include, for example, severe or exceptional weather conditions, natural disasters, major transport disruptions, power or infrastructure failures, strikes, official restrictions, epidemics, war or other comparable events.
If such circumstances affect an experience, we will make reasonable efforts to inform affected customers and minimise the impact where possible.
Photography and Media
Guests are generally welcome to take photographs and videos for personal use during the experience unless otherwise instructed by our hosts.
Any photography or recording restrictions communicated during the experience must be followed for reasons including safety, privacy, animal welfare or the nature of a particular part of the experience.
Commercial photography, filming or other commercial use of material recorded at Lapland Aurora World requires prior written permission.
Complaints
If you believe that the service you received was not provided as agreed, please inform us as soon as possible so that we have an opportunity to address the matter.

Please include your booking reference and sufficient information for us to identify and investigate the matter.
Governing Law and Consumer Rights
These Terms of Service and bookings made with Lapland Aurora World are governed by Finnish law.
Nothing in these terms limits the mandatory rights available to consumers under applicable consumer protection legislation.
We aim to resolve any disagreement directly with the customer whenever possible.
Any dispute that cannot be resolved through negotiation will be handled in accordance with applicable Finnish law and the competent dispute resolution procedures.
Payment Service Provider
Online payments are processed using Stripe.
Stripe provides the technical payment processing infrastructure for the payment methods displayed during checkout. Available payment methods may vary.
Lapland Aurora World Oy remains the seller and service provider responsible for the purchased experience, including customer service, booking changes, cancellations and refunds.

The terms applicable to a booking are the terms in effect at the time the booking is made, unless a change is required by mandatory legislation.
